01 · How it had always been done

Every client goes through a long process (entity, bank account, payroll, visas). The status lived in HubSpot, where the tickets were. The client lived in email, asking. The support team spent its day reading one system aloud into the other. A paid middleware sat between payment and delivery, and nobody could see inside it.

02 · What we changed

A client portal that reads the tickets live from HubSpot, through its own API: the same data, seen from outside. Nothing copied, nothing stored twice. Then the middleware went: HubSpot's own webhook releases the service when the payment lands, with no intermediary and no person.

03 · What that made possible

Clients see their own status; they stop asking. Support stops being the reading process of a system. Every client conversation now lives in one real-time API with state: the ground an AI support layer needs, ready for when it is worth building.
